Analytical skills help you in many ways in personal and professional situations. With Analytical Skills, you not only find the cause of the problem but also work on the solution. So the question is, are you an analyst?
To test yourself, please check that you are asking yourself these questions about any problematic situation?
1- You ask why something happened? Who is the creative person or company?
2- Do you think the problem arose because of some error that could have been corrected? Or is this because of some uncontrolled human error?
3- Do you think the extent of the problem? How small or large might it be?
4- Do you think a specialist is needed to end this problem?
5- Are you approaching a problem-solving problem by breaking the situation into smaller pieces and addressing them one by one?
6- Do you use Ys principal? [5 Ys Principle is used to find the cause of any problematic situation. To justify any problem, you ask “WHY” at least 5 times to find out the real cause of the problem]
Let’s take a practical example of understanding the 5 WHY goal and hone our analytical skills:
Your customer is unhappy with the delivery delay and therefore you, as the manager, ask for your team’s lead:
a. Why is the hardware not delivered to the customer on time? (1st WHY)
ANS: because it was not instructed by the project manager in time.
b. Why not ordered on time (2nd WHY)
ANS: The IT system did not release to the Purchasing Manager in time.
c. Why didn’t the IT system release it on time? (Third WHY)
ANS: The IT system has certain bugs that cause it to lose some of the notifications / releases.
d. Why does the IT system have some bugs, who will fix it? (Fourth WHY)
ANS: IT engineer does not have the skills set to manage this.
e. When did you find out about this? Why not dismiss this submission from the date our customer ordered the hardware? (5th WHY)
In this case, the Boss dug down the problem and found that the IT system was not responding in the right way.
Therefore, from the above analysis what you concluded:
1- The Lead Team needs training to be able to follow the tasks more closely.
2- To restore the trust of your customers, give them certain benefits as they are not happy due to delivery delays and may cancel future orders.
3- Solve the IT problem ASAP so that other customers are not affected. Solving this IT problem requires further analysis:
a. Is this a small pest you can handle your IT engineer by reading the product manual?
b. Is there an online forum where you can seek help?
c. If the IT system is confidential then should you hire specialized services to solve the problem?
d. Is the software version up-to-date?
e. Do you need to hire an experienced IT engineer to support a young IT engineer?
In summary, if you would like to improve your analytical skills then:
1- Ask a lot of questions about any problem / situation like who, what, when, how, where, etc.
2- Divide the big problem, get into small problems and work on each problem one by one to solve it.
3- Think about the problem with emotional outlook, financial angle, social aspect and point of view.
4- Use the right tools (Microsoft excels in pivots, graphs, practice analysis tool, Fishbone drawing etc.)
5- Install DMAIC Tool for Six Sigma (Define, Rate, Analyze, Improve, Manage)
6- Make a Need Vs Want Analysis to make a decision.
